How to automate a store during power outages
Planned and emergency power outages have become a reality for Ukrainian businesses. A store that cannot print a receipt or accept card payments during a blackout loses revenue and customers. We explain how to organize uninterrupted operation of a retail point and keep going even during prolonged outages.
Audit of critical equipment
First, make a list of what must work during an outage:
- POS terminal or a cash register with a fiscal registrar;
- fiscal receipt printer;
- barcode scanner;
- router and internet;
- card payment terminal (bank POS);
- lighting and refrigeration equipment (a separate major topic).
The total power consumption of the cash station is usually low — this allows it to run on backup power sources for even several hours. Separately calculate the consumption of refrigerators: they are significantly more "hungry" and require more powerful solutions.
UPS for the cash register and POS
An uninterruptible power supply (UPS) is the foundation of cash register autonomy. It instantly switches the equipment to battery the moment the power fails, so the cash register doesn't even reboot.
Linear-interactive UPS
The optimal choice for a cash register and router. They provide several minutes to tens of minutes of operation, protecting against voltage surges. Suitable for short outages or as a buffer for a proper shutdown.
UPS with external batteries
For prolonged outages, choose models with the ability to connect additional batteries or separate inverter systems. They can power the cash station for several hours straight.
Portable charging stations
A convenient universal solution: they power the router, laptop cash register, and terminal, charge overnight, and have 220V outlets. They can be moved between locations.
Laptop and mobile POS terminals
A major advantage of modern solutions is a POS based on a laptop, tablet, or smartphone. They have their own battery and can operate for hours without external power.
- Laptop as a cash register. A cash register program or a web-based fiscal registrar on a laptop — and you are autonomous for at least 3-5 hours.
- Tablet cash register. A compact solution for small stores and cafes.
- Smartphone + fiscal registrar. The cheapest backup: a fiscal registrar app on the cashier's phone in case the stationary cash register is out of power.
Cloud synchronization
If your product, price, and inventory data is stored in the cloud, you are not tied to a specific computer. During an outage, the cashier takes a tablet or phone, logs into the cloud cash register — and continues selling with up-to-date inventory.
Modern fiscal registrars (Checkbox, Vchasno Каса, SmartKasa) work via the cloud and have an offline mode: up to 36 hours in a row without internet, with automatic transmission of receipts to the tax service after the connection is restored. This means you can continue legal trading even without internet.
Backup internet
The light often goes out along with the provider's internet. Take care of a backup communication channel:
- 4G router or modem. Works from a UPS or power bank, provides internet for the cash register and terminal.
- Smartphone hotspot. The simplest backup — share your mobile internet from your phone.
- Two SIM cards from different operators. If one operator is down, the other works.
- Starlink. For large facilities and points in areas with unstable coverage.
Card payment without power
Bank POS terminals can be mobile — with their own battery and GSM connection. Order one from the bank as a backup to the stationary one. An alternative is payment by details or via instant transfers, but this is less convenient for the customer and slower at the cash register.
Lighting the workspace
Don't forget about basic comfort: battery-powered LED lamps, headlamps or desk lamps for the cashier, charged power banks for phones. The customer must see the product, and the cashier must see the cash register screen.
Refrigeration equipment during outages
For grocery stores, a separate major problem is preserving cold. Keeping refrigerated display cases on a UPS is expensive and impractical due to high power consumption. Other approaches are used here:
- Generator. A gasoline or diesel generator with sufficient power for the refrigeration equipment — the most reliable solution for prolonged outages.
- Quality thermal insulation. A closed cold room maintains temperature for several hours if opened less frequently.
- Cold accumulators. Help maintain temperature in display cases and freezer chests during short outages.
- Purchasing planning. During periods of frequent outages, keep a smaller stock of perishable goods.
For critical equipment, it is worth considering an automatic generator startup or at least a quick manual switch to avoid losing product.
How to prepare the staff
Equipment works when the staff knows what to do. Create a simple instruction: who and how activates the backup power, how to switch to a mobile cash register, who to call in case of problems. Conduct training for cashiers on working in the offline mode of the fiscal registrar in advance, not at the moment of the outage. This saves nerves and time in a critical moment.
Store readiness checklist for a blackout
- UPS or a charging station for the cash station;
- laptop, tablet, or smartphone as a backup cash register;
- fiscal registrar with configured offline mode and cloud synchronization;
- 4G router or mobile internet as a backup;
- mobile bank terminal;
- charged power banks and flashlights for the staff.
